A Quote is created for a customer, captures the proposed pricing and terms, and can go through several versions before it is approved.

Create a quote

  1. Access the “Quotes” section via the side menu;
  2. Click “Create a quote”;
  3. Select a customer;
  4. Select the “Quote type” (see below);
  5. For a subscription amendment, select the subscription to amend (only active subscriptions are listed);
  6. Optionally select owners, the teammates responsible for the quote; and
  7. Click “Create quote” to confirm.
The customer and quote type cannot be changed after creation. They apply to all versions of the quote.

Quote types

The quote type determines what you can add to the quote:
  • Subscription creation: quote a new subscription. A plan from your catalog, with price overrides if needed, plus optional coupons and prepaid credits.
  • Subscription amendment: quote an update to an existing subscription (upgrade, downgrade, repricing). One plan, tied to the selected subscription. The plan can differ from the current one. Coupons and prepaid credits available.
  • One-off: quote a standalone one-off invoice made of add-ons. Useful for POCs, pilots, or implementation fees. No plans, coupons, or prepaid credits.

Quote settings

After creation you land on the quote editor. The panel next to the document shows:
  • Main settings: quote type and billing entity, read-only.
  • Execution details: customer and subscription (for amendments), read-only. The currency, which defaults to the customer’s currency and can be updated while the version is a draft. A “Start date” and “End date” for the deal, which you set here. The “Payment term”, displayed from the customer’s or billing entity’s net payment term.
Dates save automatically and are required before approval. One-off quotes have no execution details: their invoice is dated at execution. Pricing, discounts, and credits are configured inside the document. See writing the quote content.

Versions

Each round of negotiation is a version of the same quote: one quote to track per deal, and a permanent record of every offer made. Quotes are numbered automatically, versions as v1, v2, and so on. Creating a quote creates v1. A version has one of three statuses: Only one version can be draft or approved at a time: the current offer. All other versions are voided and stay visible in the “Version history” table. Clicking a voided version opens a read-only preview.

Working with versions

From a draft version, the “Actions” menu offers:
  • “Edit quote”: open the editor.
  • “Approve quote”: lock the version and generate the order form. See approving a quote.
  • “Void quote”: withdraw the version. Irreversible. “Void and create new version” starts over immediately.
  • “Duplicate version”: create a new draft from this version.
Duplicating is how you start a new round. It copies the version into a new draft and voids all previous versions, so the live offer is never ambiguous. Any non-approved version can be duplicated, including older voided ones: if the customer prefers your first offer, duplicate v1. While a version is approved, the quote is frozen: no editing, no duplicating. To renegotiate, void the order form first. This voids the approved version and unlocks duplication. Example: v1 goes out with a 10% discount. The customer asks for 15%. You void the order form (voiding v1), duplicate v1 into v2, set 15%, approve. v2 becomes the deal, v1 stays in the history.
A draft can be incomplete. Required fields (a pricing block, the currency, the start and end dates) are checked at approval, not while drafting.
